PTO Balances Rarely Match What Employees Assume They Have
Ask an employee how much paid time off they have banked, and the number in their head is often a rough guess — especially under an accrual system, where the balance grows a little with every paycheck rather than arriving as one lump sum in January. Reconciling accrual rate, pay periods worked, time already used, and any starting balance is exactly the calculation that produces the real, current number.
The Formula
Ending Balance = Starting Balance + Accrued PTO − PTO Used
Accrual rate is typically expressed as hours earned per pay period, which means the ending balance calculation is really just tracking a running total: what an employee started with, plus what they've earned since, minus what they've already taken.
Why Getting This Right Matters to Both Sides
- Payroll accuracy — incorrect PTO balances lead directly to payroll disputes, especially around final paychecks where unused accrued PTO is often required to be paid out by state law.
- Employee self-service transparency — giving employees a clear way to verify their own balance reduces routine HR inquiries and builds trust in the payroll system.
- Liability tracking — accrued but unused PTO is a real financial liability on an organization's books; aggregating individual balances gives finance an accurate total exposure figure.
