Recruiter Workload Calculator

An Overloaded Recruiter Fills Every Role More Slowly

Requisition load per recruiter is one of the clearest early warning signs in a recruiting team — past a certain point, adding more open roles to the same headcount doesn't just stretch individuals thin, it slows down every requisition they're carrying, including the ones that were already close to filled. This calculator turns headcount and open roles into a workload figure that can be checked against a target.

The Formula

Recruiter Workload = Open Requisitions / Number of Recruiters

Where This Is Useful

  • Staffing the recruiting team itself — a workload consistently above a comfortable threshold is direct evidence for hiring an additional recruiter.
  • Balancing requisitions across a team — identify which recruiters are carrying more open roles than their peers.
  • Setting realistic time-to-hire expectations — workload and hiring speed are closely linked; a fair comparison of time to hire has to account for how loaded each recruiter was.

Worked Example

45 open requisitions spread across 5 recruiters, checked against a recommended maximum of 10 requisitions per recruiter:

How to Use This Calculator

  1. Enter Open Requisitions — total active roles being recruited for.
  2. Enter the Number of Recruiters handling them.
  3. Optionally enter a Recommended Max Load per recruiter to check the result against a target.
  4. Select Calculate to get workload per recruiter and, if a max was entered, a status of Within Recommended Load or Overloaded.
