How Much Paid Time Off Will a Trip Actually Cost You?

A ten-day trip doesn't necessarily mean ten vacation days — weekends you weren't going to work anyway, and public holidays that happen to fall inside the trip, can both reduce the number of days you need to formally request. This calculator counts the calendar span between two dates and subtracts what shouldn't count against your leave balance.

The Formula

Trip Length = (End Date − Start Date) + 1 calendar day Countable Days = Trip Length, or Trip Length excluding weekends, depending on your policy Vacation Days Needed = Countable Days − Holidays During Trip

Where This Calculation Matters

  • Requesting time off — giving HR or a manager the exact number of leave days a trip requires, not the full calendar length.
  • Budgeting a limited leave balance — comparing several possible trip lengths against a fixed number of vacation days remaining for the year.
  • Planning around public holidays — deliberately booking a trip so it straddles a holiday, stretching the calendar time away from work without using extra leave.

Two Ways to Count

Whether weekends count against your vacation balance depends entirely on your employer's policy. Some organizations only deduct leave for weekdays you'd otherwise be working, treating weekends as "free" days inside a trip; others count every calendar day of leave taken, including weekends, against an annual allotment. This calculator supports both by letting you choose whether to count or exclude weekends before holidays are subtracted.

Note: Public holidays only reduce the day count if they fall within the trip's date range and your employer observes them as paid holidays — confirm your company's holiday calendar before relying on the result.

  2. Choose whether to Count Weekends as Trip Days or Exclude Weekends, matching your employer's leave policy.
  3. Optionally enter the number of Public Holidays During Trip that fall within the date range.
