Wedding Guest Cost Calculator

Working Backward From a Fixed Budget to a Realistic Guest Count

Sometimes the venue or catering budget is fixed first, and the guest list has to fit inside it — the reverse of pricing out an already-decided list. Dividing a total budget by guest count gives the per-person figure you can compare directly against caterer quotes, which is often the fastest way to sanity-check whether a proposed guest count is actually affordable.

The Formula

Cost per Guest = Total Catering/Venue Budget ÷ Guest Count

Worked Example

A $15,000 catering and venue budget across 100 guests
Total budgetGuest countCost per guest
$15,000.00100$150.00

If a caterer's actual per-person rate exceeds this figure, either the guest list needs to shrink, the budget needs to grow, or a less expensive catering style needs to be considered.

Where This Matters

  • Vetting caterer quotes — comparing your affordable per-guest figure against a caterer's actual per-plate pricing tells you immediately whether that vendor fits your budget before further negotiation.
  • Deciding on a guest cap — if the venue budget is fixed, this calculation in reverse (dividing budget by a target per-person rate) tells you the maximum guest count you can realistically invite.
  • Comparing venue packages — some venues quote an all-in per-person rate while others itemize separately; converting both to the same per-guest figure makes for an apples-to-apples comparison.
