Working Backward From a Fixed Budget to a Realistic Guest Count
Sometimes the venue or catering budget is fixed first, and the guest list has to fit inside it — the reverse of pricing out an already-decided list. Dividing a total budget by guest count gives the per-person figure you can compare directly against caterer quotes, which is often the fastest way to sanity-check whether a proposed guest count is actually affordable.
The Formula
Cost per Guest = Total Catering/Venue Budget ÷ Guest Count

If a caterer's actual per-person rate exceeds this figure, either the guest list needs to shrink, the budget needs to grow, or a less expensive catering style needs to be considered.
