A Budget Narrative Is Only as Strong as the Math Behind It

Grant reviewers read budget sections looking for one thing above all: does the allocation across categories actually match the work described in the proposal? A program heavy on direct service but light on personnel funding raises questions before a reviewer even reaches the narrative. This calculator splits a total grant amount across the standard categories — personnel, program, admin, and other — so the percentages and dollar figures line up before submission.

The Formula

Category Amount = Total Grant × Category %

Each category is calculated independently from the same total, then summed to confirm the allocation doesn't exceed the grant amount — any unallocated remainder is called out explicitly so nothing gets left unaccounted for in the proposal.

Where Category Splits Get Scrutinized

  • Funder compliance limits — many grant programs cap administrative costs at a fixed percentage (commonly in the 10–15% range), so knowing the exact dollar figure a percentage represents matters before the proposal is finalized.
  • Multi-year proposal planning — recalculating category splits against different total grant sizes helps organizations see how a smaller or larger award would need to be restructured.
  • Post-award tracking — the same percentage splits used at application time typically become the baseline a program manager reports actual spending against.
  • Internal budget review — finance staff use this exact split to cross-check that a program officer's category percentages actually total 100% (or account for the deliberate remainder) before submission.
