Utilization Is the Number Behind Every Staffing Argument
"Are we overloaded or underused?" is one of the most common resourcing questions on any team, and the honest answer is a ratio: hours actually assigned against hours actually available. This calculator turns that ratio into a percentage and a plain status label, so the conversation about staffing moves past gut feel.
The Formula
The result is classified into three bands: above 100% is over-allocated, 85% up to 100% is fully utilized, and anything below 85% is under-utilized.
Where This Is Useful
- Capacity planning — spot over-allocated team members before they become a bottleneck or a burnout risk.
- Justifying headcount requests — a sustained over-allocation percentage is concrete evidence for hiring or reassignment.
- Finding slack — under-utilized hours are exactly the capacity available for a new task or project without adding headcount.
