Project Cost Estimate Calculator
Two Numbers Drive Most Project Budgets
Strip a project cost estimate down to its essentials and it's almost always labor time multiplied by a rate, plus whatever doesn't scale with hours — licensing, materials, travel, contractor fees. This calculator keeps that separation explicit instead of burying it in a spreadsheet formula nobody remembers the logic of six months later.
The Formula
Project Cost Estimate = (Labor Hours × Hourly Rate) + Fixed Costs
Where This Is Useful
- Client proposals — back a quoted price with a transparent labor-plus-fixed-costs breakdown rather than a single opaque number.
- Internal budget requests — separating labor cost from fixed costs makes it clear which part of the estimate is negotiable through scope and which is a hard pass-through cost.
- Comparing vendor bids — normalizing bids into hours × rate plus fixed costs exposes where two quotes actually differ.
Worked Example
| Labor hours | Hourly rate | Labor cost | Fixed costs | Total estimate |
|---|---|---|---|---|
| 120 | $75.00 | $9,000.00 | $2,500.00 | $11,500.00 |
How to Use This Calculator
- Enter Labor Hours — total estimated hours of work.
- Enter Hourly Rate — the billed or loaded cost per hour, in dollars.
- Optionally enter Fixed Costs — any expense that doesn't scale with hours (materials, licenses, travel). Leave blank to treat it as zero.
- Select Calculate to see the labor cost, fixed costs, and total project cost estimate.
