Headcount Isn't the Same as Capacity

Eight people on a team doesn't mean eight people's worth of full-time output — meetings, PTO, on-call rotations, and administrative overhead all eat into the hours actually available for project work. This calculator converts team size and a weekly hours figure into a realistic capacity number by applying an availability percentage, rather than assuming everyone is at their desk 100% of the time.

The Formula

Team Capacity = Team Size × Hours per Person per Week × Weeks × (Availability % / 100)

Raw capacity (team size × hours × weeks) is calculated first, then scaled down by the availability percentage to produce the effective capacity actually usable for planning.

Worked Example

An 8-person team, each available 32 hours a week for project work, over a 2-week sprint, with 90% availability after accounting for meetings and time off:

How to Use This Calculator

Enter Team Size — number of people on the team.
Enter Hours per Person per Week — typical working hours each person contributes weekly.
Enter the Number of Weeks for the period being planned.
Optionally enter Availability % to account for meetings, PTO, or other time away from project work (defaults to 100% if left blank).
